Onboarding

Effective Onboarding

Onboarding is different for every sector, so here’s an example, for warehouse.

Bringing new temps into a warehouse environment isn’t just about showing them where the fire exits are and pointing them towards the shift manager. A well-structured onboarding plan sets people up to perform, stay safe, and feel part of the team from day one.

The candidate experience is your employer brand in action, a reflection of your values, your culture, and the way you build lasting relationships.

Day One Essentials...

Delivered in person, video, or interactive guide before shift begins:

  • Welcome & Values
Brief introduction to the agency and client: who we are, our mission, and what we stand for.

  • Site Tour & Key Contacts
Layout of warehouse, welfare facilities, fire exits, first aid points, supervisor/buddy introductions.

  • Dress Code & PPE
Issue of required clothing (hi-vis, safety boots, gloves) and explanation of correct use.

  • Health & Safety Overview
Fire procedures, accident/near miss reporting, safe lifting practices, emergency drills.

  • Behaviour & Courtesy
Expectations on punctuality, teamwork, and respect while on assignment.

  • Accidents & First Aid
How to report incidents, where first aid is located, who is trained.

  • Substance Misuse & No Smoking
Zero tolerance for drugs/alcohol, designated smoking areas.

  • Key Procedures
Signing in/out, absence reporting, and line manager notification (never leave site without telling your supervisor).

Onboarding succeeds when communication is consistent, open, easy to understand  and when it recognises that every candidate comes with different backgrounds, experiences, and expectations.

Week One Reinforcements...

Delivered through buddy system, short huddles, or pulse survey follow-up:

  • Role-Specific Training – Clear explanation of targets, scanning systems, equipment use, or vehicle loading.

  • Equal Opportunities & Diversity – A reminder of fair treatment and inclusivity in the workplace.

  • Mobile Phone & Equipment Use – When and how phones/machinery can be used safely.

  • Absence & Leave Procedures – Clarify process for calling in sick or requesting time off.

  • Complaints & Whistleblowing – Simple, confidential routes for raising concerns.

Constant reminders and engagement transform onboarding from a process into a partnership, showing candidates they’re valued and supported every step of the way.

Ongoing Reminders & Engagement..

Kept visible through social media posts, or text alerts:

  • Top 10 Safety Reminders – e.g. wear PPE at all times, report hazards immediately, use correct lifting techniques.

  • Mini Social Posts / WhatsApp Updates – Reinforcing key onboarding messages like:
    • Always tell your line manager before leaving site.
    • Keep PPE on in designated areas.
    • Report accidents or near misses immediately, it helps everyone stay safe.

  • Pulse Surveys – Quick text check-ins after first shift, mid-week, and end of first week.

  • Buddy Support – Regular informal check-ins to answer questions and encourage feedback.

Make sure your onboarding process is about building a candidate partnership, creating stronger connections, reinforcing expectations, and building long-term trust, loyalty, and commitment.

Bringing Onboarding to Life ...

For warehouse temps, for example, onboarding evidence could include:

  • Onboarding Videos – A quick visual tour of the warehouse environment, safety checks, and job expectations.

  • Interactive PDFs – Digital guides with a “10 things to know on day one” section, combining clarity with ease of use.

  • Pulse Surveys – Short text-message check-ins during the first week to demonstrate ongoing support and spot issues early.

  • Buddy Systems – Pairing temps with experienced staff to encourage confidence and smooth integration.

  • Social Media Stories & Reminders – Behind-the-scenes posts showing PPE handouts, safety briefings, or team introductions, plus regular reminders pulled straight from onboarding e.g. “Always report before leaving site” or “Keep PPE on in designated areas”. This shows consistency and reinforces key messages for candidates and clients alike.

  • Testimonials & Case Studies – Real stories from temps about how the process helped them succeed.
